Focus on ArchivesOne People
Little did JESSICA MOORE know that she would be managing records instead of apartment complexes at the beginning of this year. That's when Jessica joined ArchivesOne as Customer Center Leader for our facilities in Raleigh and Morrisville, North Carolina. Before that, she supervised six large apartment complexes with a total of over 1,600 apartment units.

"Property management requires the same many of the same skills and experience as records center management," noted Jessica. "Just as ArchivesOne has Core Operating Procedures to be followed and implemented company-wide, we had procedures that had to be applied across different apartment communities," she continued.

"Also, customer service was integral in property management just as it is with ArchivesOne. I worked with team members to make residents happy and respond to their needs - just like what we do at ArchivesOne. Same concepts, different industry," explained Jessica.

While her property management experience has been invaluable in managing team members at the North Carolina centers, her biggest challenge has been learning the computer software of the O'Neil records management system and relating it to day-to-day activities. However, Jessica has received enormous support from the ArchivesOne team - Jim Trickett, Regional Vice President, and many others, to help learn how to manipulate the O'Neil systems and use it effectively in operations.

"The ArchivesOne team has been awesome," Jessica said enthusiastically. "I think that the values and culture of ArchivesOne encourage all of us to support each other. These values are much different than in property management. The ArchivesOne values are more team member-friendly, and I like that," continued Jessica. "It's helped me a lot."

Jessica lives happily with her significant other and two dogs, Walter, a basset hound mix and Henry, a dachshund mix. When she's not working, Jessica is either renovating her house or shopping.

Why Store Records Off Site? (cont.)

In light of recent privacy legislation such as HIPAA and Gramm-Leach-Bliley, information security and maintenance of privacy is a paramount concern. Off-site records management companies offer robust security, including perimeter fencing and lighting, keypad entry systems, requester verification, identity confirmation, mandatory escort of visitors, central station monitoring and other security measures. Off-site centers also employ enhanced employee vetting procedures and employee confidentiality agreements to enhance records protection.

In addition, many commercial records centers employ enhanced records protections systems such as specialized fire sprinkler systems for boxed records and non-aqueous fire suppression systems for vault spaces where magnetic media are stored.

Most records centers provide client viewing areas to conduct spot checks or systems audits. In some cases, assistance is available to develop disaster recovery plans and supplemental labor for special projects such as records purges, migrations or indexing files.
